Wynn Vale West Out of School Hours Care is an excellent program offered by the Keithcot Farm Governing Council, which offers care for your primary school aged children before and after school and during school holidays. The service will provide children with a safe, stimulating and fun environment in order for them to explore, create, experiment and express themselves as they choose, in their leisure time. Our range of activities include: cooking, painting, pasting, drawing, colouring, box construction, creative making, games, group activities, sports activities, free play, TV, quiet activities, books to read - just to name a few. These activities are compiled by staff observations, child suggestion and parental input and are written up daily on the whiteboard for all to see. We have very good facilities, a homework area, and outdoor equipment, with staff who are enthusiastic, encouraging and caring, all in close proximity to the two schools. Childcare Benefit (CCB) is available to all families who apply through Centrelink/Family Assistance Office. Our Customer Reference Numbers (CRN)/ Operator Codes are: 555 009 468A – Before School Care 555 009 336C – After School Care 555 009 541H –Vacation Care Please note that our registered name is Wynn Vale West OSHC. We take quality childcare seriously. Staff and Management continually endeavour to identify strengths and weaknesses explore options, implement new plans and ideas and then evaluate and develop strategies for further improvement. Policies and Procedures are available for parents to peruse at all times. The federal program of “Quality Assurance in OSHC” is in place in most federally funded centres. Wynn Vale West is now accredited under Outside School Hours Care Quality Assurance. Please assist us as we endeavour to improve the centre under OSHCQA Guidelines.
1. Hours of Operation The Centre will be open Monday to Friday during each school term, between 7.00 to 8.45am and 3.00pm to 6.00pm in accordance with the needs of Keithcot Farm Primary and Kings Baptist Grammar Schools. In the case of planned early dismissal days, late start days, school closure days, etc. the Centre hours may be extended and fees calculated according to need. The Centre will not open on Public Holidays and Vacation Care is provided during school holidays. 2. Attendance/Non Attendance Before School Care 60max. (As regulated by the Federal Government) After School Care 100max. · Regularattendees are those who are booked in Monday to Friday or for specific days of the week on a regular basis. Their places are held and they will always be expected on the days stated. · Casualattendees are those who attend by booking prior to the session of the day required as a once off booking. Casual places are limited. Casual bookings can not be used on a regular basis to fulfil a permanent need because this reduces our ability to offer short term emergency care. · If you do not notify staff of non-attendance and staff are forced to make phone calls to locate the whereabouts of your child/ren, a $2 fee per family will charged. · OSHC fees will be charged as follows… o If a child does not attend OSHC on a booked day and no notice or acceptable reason if give then the full fee will be charged. o If a family gives notice the day before or if the child is proved sick (sick certificate required) then a booking fee of $4 for ASC or $2.50 for BSC will be charged. o If a family provides notice one week before the child is absent then no charge will apply. The reason why the above conditions are rigorously applied is to enable OSHC to offer spaces on a casual basis to those who need them. 3. Waiting List Policy A Waiting List Policy has been made by the Management Committee. It details the process should OSHC reach capacity on any sessions. 4. Kindergarten Wynn Vale West OSHC can accept 4 children from Keithcot Farm Kindergarten who will be picked up by a staff member at 3:00pm. 5. Breakfast and Afternoon Tea Healthy and nutritional food is valued and served. Breakfast is available prior to 8.00am Afternoon Tea will be provided each day at 3.45pm. Please notify the coordinator of any food allergies or special diets to be considered. During Vacation Care children will need to bring recess and lunch as per usual, but breakfast and afternoon tea will be provided as usual. As there are no canteen facilities or local shops children will have to bring their lunch every day during Vacation Care. The only exception to this is when stated on the Vacation Care program. 6. Arrival and Departure of Children Children will only be allowed to leave the Centre with persons specified on the enrolment form. When bringing or collecting your child(ren) please advise the staff and sign the "Sign In/Out" book. Parents/Guardians will need to escort their children to and from the Centre. Children will need to be signed in during Vacation Care and at Before School Care. Parents will need to sign children out at Vacation Care and After School Care. As children are on the school premises, unless otherwise negotiated, older children will be encouraged to find there way to and from their classroom at ASC. Children who go to school in the “Houses” will be picked up by a staff member between 3:00 and 3:10pm. Children who attend Kindergarten at Keithcot Farm will be picked up by a staff member at 3:00pm. 7. Late Departure at After School Care and Vacation Care Where children are not picked up by 6.00pm, the Management Committee will charge late Fee of $1 per minute after 6:00pm. 8. Sickness and Accident · It would be appreciated if children with infectious diseases did not attend the Centre and parents may be contacted in the event of a child becoming ill whilst at the Centre. · Medication can only be administered in original form and with written instruction form the doctor. · If an accident occurs action as per the enrolment form will be taken, parents will be notified, and an ambulance called if necessary. 9. Fees All children are expected to follow the rules of the program as detailed in the Behaviour Management Policy. 10. Fees Permanent fees should be paid in advance and are set at: Morning session $ 9.00 per child Afternoon session $ 14.00 per child Vacation Care $35.00 per day plus excursion costs NB. Childcare Benefit (CCB) is available to those who apply. All fees must be paid within 4 weeks of attendance to ensure your place at OSHC. PLEASE SEE BELOW FOR PAYMENT METHODS. 11. Sun Protection Children will need to have a hat all year round. KFPS and KBGS have a “No hat play in the shade” Policy we adopt. SPF30+ broad-spectrum, water resistant sunscreen will be provided throughout the day for children if temperature is above 30. Children will not be allowed outside if the temperature is above 36oC. If children do not have hats at ASC or Vac Care a charge on $1 per day/child will be charged for the hire of an OSHC hat. Families are welcome to keep a hat at OSHC in the office for their child’s use if they wish. 12. Feedback As our goal is to create a service which will provide children with a safe, stimulating and fun environment in order for them to explore, create, experiment and express themselves as they choose, in their leisure time, we welcome any ideas, suggestions or feedback you have. As the primary caregiver for you child we understand that you know your child and their interests best! Please feel free to call us up, chat to us or give us written feedback. We have a “Suggestion Box” for any suggestions, ideas or grievances. All feedback will remain confidential. 13. Vacation Care There is a ceiling on the number of children who can attend the program and applications will be considered on a first in first served basis. Programs go out four weeks before the end of term to all term/regular users of Out of School Hours Care. Three weeks before the end of term it goes out to any other families within the school communities who may wish to use the service. Two weeks before the end of term the program goes out to the wider community. The fee per day or part thereof is $33 per child. Extra costs include the outings and a $5 bus charge as indicated on the program as well as additional costs for days at the centre. Children need to bring their own recess and lunch (including drinks) but afternoon snacks and breakfast are provided. A booking fee of $10 per day per child is payable with the return of your booking form. Eg. If you book 5 days in the first week and 3 days in the second week , you will need to include with your booking form $80.00. This money will then come off your fees. In cases though where families then cancel days, the $10 will not come off your fees but be a penalty fee that is charged. So if the same family then cancels 2 days in the first week and 1 day in the second week, $30 of the original $80.00 paid will be a penalty fee and the remaining $50 will come off your fees. We will not book any family into care without the booking fee. This is to ensure fairness and a commitment by us to provide very necessary care to as many families as we can. When booking Vacation care with this new system, please make sure it is in a well labeled envelope with your name, the amount and Vacation Care written clearly on the front. 14. Policies and Procedures Wynn Vale West has an extensive list of policies and procedures in accordance with the National Childcare Accreditation Council. The Child: Carer ratios 15:1 at school 8:1 on excursions 5:1 in water. It would be appreciated and beneficial if families came up before first attending so staff, parents and children can all get acquainted. Parents and staff will negotiate pick up procedures for the children from their classrooms. Staff will actively encourage new children to be involved in the service and will inform them of the timetable, rules and assisting them in developing new friendships. Accounts will be available for collection by the Wednesday the week after your child has attended. Accounts should then be paid within 1 week of being issued unless there have been negotiations with the Director. Therefore, any account 4 weeks or more in arrears will attract a 20% loading to offset extra accounting costs involved in covering the amount. ALL ACCOUNTS MUST BE FINALISED TERM BY TERM. All cheque payments need to be made out to “Keithcot Farm Primary School”. The Management Committee reserves the right to terminate enrolment should fees not be paid within a negotiated time. Individual circumstances may be considered by the Management Committee, but because the fees are a significant part of the income the budget for this program has to remain extremely tight.

PARENTS ARE WELCOME TO ASK A STAFF MEMBER FOR A RECIEPT HOWEVER STAFF MUST VARIFY THE AMOUNT PAID. CREDIT CARD: CREDIT CARD PAYMENTS CAN BE MADE MONDAY TO THURSDAY AT THE KEITHCOT FARM FRONT OFFICE OR VIA PHONE DURING SCHOOL HOURS.
